MDS (Managed Document Solutions)

The «KYOCERA MDS» (Managed Document Solutions) solution is the perfect choice for any business that wants more efficient, economical and friendly management of its printing devices and of all the documents it produces. It is an integrated solution that optimizes the entire operation of a business.

KYOCERA, which provides managed print services, has its own name and methodology for MPS. Managed Document Services (MDS) is the method applied consistently to every prospective customer, regardless of name, turnover, number of devices or document volume. From the initial survey to the final optimization stage, this process has five (5) distinct pillars, closely connected to each other, where teamwork and cooperation with the customer are the key to yet another successful implementation.

1. Assess:

At this stage, the dedicated MDS team (Technical Analysts, Color Specialists & Account Manager), together with the project team (IT Client Architecture specialist, IT Analyst, IT specialist, etc.) of the business that wants to implement an MPS project, records all the project data. This takes into account the floor layout, device groupings, monthly black-and-white and color print volumes, scanning, fax needs, and any other useful project estimates (green policy, CO2 emissions, management of consumables and waste, foreseeable energy savings, special paper, special requirements, etc.). At the solutions and software level, it also considers easy device management at user level, authentication (Admin, Users with proximity card or PIN), and the type of control required for reporting, accounting, costing, billing, follow-me printing and secure printing, with or without rules, as well as anything else that may be requested.

2. Design:

Here the MDS team (Solution Specialist, Technical Analyst & Account Manager) presents all the project data to the business's project team and designs the proposed solution together with the business. Floor plans and the data collected by our team, architecture analyses and the chosen methodology are analyzed in depth, with a specific proposal for equipment and solutions. The presentation includes the proposed fleet (copiers, printers, multifunction devices, etc.), management, governance and security software, financial optimization, fleet management (software, support structure, SLA), a high-level implementation plan and process rationalization.

3. Implement:

At this stage, the fleet and software are seamlessly adapted to the existing network, or to a new one if required, end users and the IT department are trained, and all on-site 'how to use' tools are provided so the new service can be used in the most practical way with clear instructions, while project management follows the planned schedule faithfully.

4. Management:

At this stage, the service is thoroughly checked to make sure it is delivered as designed across all levels of the company's organization. There is close coordination between the project teams of both parties, aiming at maximum cooperation with all departments of the business, which may include contracts, logistics, warehouse, accounting, etc.

5. Optimise:

In this final stage, the KYOCERA MDS team evaluates the new data and proposes further supporting solutions (moving or replacing devices, changes to terms of use, new rules, provisions for increased productivity and coordination with the IT department, restocking consumables if needed, etc.) to ensure the best possible service at all times and to manage improvement projects.
